These policies are designed to keep projects organized, transparent, and creatively focused. They help ensure that both you and I have a smooth, positive working experience from start to finish.
By booking a session or submitting files, you acknowledge that you’ve read and agree to the following terms.
1. Availability & Communication Policy
I typically mix on Tuesdays through Thursdays.
You’re welcome to send your files anytime. Once received, your project will be scheduled for the next available mixing session.
Communication:
Email (contact@madebyjae.com) is the primary way to reach me, and the quickest for project-related messages. Please allow up to 24 hours for a response during business days. Messages sent through social media or outside working hours may experience delays.
Purpose:
This helps manage expectations, keeps projects organized, and ensures every client gets the attention their music deserves.
2. File Submission Rules
Proper file preparation helps avoid delays and ensures your mix gets started smoothly.
Before sending, please confirm that your session files meet the following requirements:
- File format: WAV files, 24-bit, at the same sample rate as your session
- Track alignment: All tracks exported from bar 1
- Labeling: Clearly name each track (e.g., “Kick” “Lead Vocal” “Gtr L”)
- FX: Only print effects (reverb, delay, etc.) if they’re intentionally part of your sound; if you like your effects but know they might need to be adjusted, send a wet file and a dry file so I have both for reference
- Headroom: Avoid clipping on all tracks
- References: Include at least one reference track (and a rough mix if available)
Timeline Note:
Mix turnaround time begins once all files are correctly received and verified. If files need to be re-exported or corrected, the start date will adjust accordingly.
Purpose:
Clean, organized files save time, reduce confusion, and help deliver your best possible mix.
3. Revision Policy
Revisions are a normal part of the mixing process. Structured feedback keeps things efficient and creative.
- Each mix includes three rounds of revisions at no extra charge
- Additional revisions are billed at $10 per round
- Any major structural changes (such as adding new vocals, instruments, or arrangement edits) may require a new quote or session
Clients are encouraged to provide consolidated, detailed feedback for each revision round to maintain clarity and efficiency.
Purpose:
This policy prevents “revision fatigue” while ensuring your artistic vision is fully realized.
4. Payment Policy
To begin your project, a 50% deposit is required upfront. The remaining 50% is due before the delivery of final files.
- Work begins only after the deposit is received
- Revisions beyond those included and final delivery occur once the applicable payment is completed
- Rush delivery may be available for an additional 25–50% fee, depending on schedule and complexity
Invoices can be processed through Stripe (or other platforms upon request), for your convenience.
Purpose:
These terms keep projects on schedule and ensure time and resources are respected on both sides.
5. Refunds & Cancellations
Deposits are non-refundable once work has begun, as time and resources are immediately allocated to your project.
If you need to cancel before work starts, a refund may be issued at my discretion.
If you need to reschedule, please provide at least 48 hours’ notice. Your project will be moved to the next available session, or another mutually agreed session time.
6. Delivery Policy
Once final payment is received, you’ll receive your mix in the corresponding format of your booking request (Please revisit your booking details for your specific file delivery formats). Generally what can be anticipated are the following formats:
- High-quality WAV file
- MP3 version for easy sharing
- Instrumental and/or performance versions if requested in advance
Files are delivered via Google Drive, or another mutually agreed platform.
File Retention:
Session files are stored for 60 days after final delivery. After that period, they may be archived or deleted unless you arrange for long-term storage. Please download and back up your files promptly.
7. Client Responsiveness & Project Timelines
Once a mix is delivered, please provide feedback within 7 days.
Projects left inactive for 30 days without communication may be considered complete and archived. Reactivating archived projects may incur a reinstatement fee of $50.
This keeps the workflow organized and ensures timely completion for all clients.
8. Copyright & Usage Rights
All delivered and undelivered mixes remain work-in-progress and are not licensed for use until final payment is received.
Upon final payment, the client is granted a non-exclusive, perpetual license to use and distribute the final delivered mix.
Unless otherwise requested in writing, I may use short excerpts of the final mix for portfolio or promotional purposes (e.g., website, social media, or demo reel).
MADEBYJAE will never use client-provided audio files, stems, or compositions to train Artificial Intelligence (AI) models or machine learning algorithms without explicit written consent.
9. Confidentiality
All client materials are treated as confidential and will not be shared publicly before their official release without permission.
Your creative work and personal information are respected at all times.
10. Technical Disclaimer
Please note that mixes may sound different across playback systems (laptops, phones, cars, etc.).
For best results, I recommend listening on multiple systems before final approval to ensure you’re happy with the balance and overall sound.
11. Professional Conduct & Right to Refuse Service
I aim to provide a respectful, collaborative, and safe working environment for every artist I work with. To maintain a positive experience for all parties, I reserve the right to decline or discontinue a project at any time under the following circumstances:
- Communication becomes abusive, harassing, threatening, or disrespectful
- The content of the project promotes hate, discrimination, violence, or harm toward individuals or groups
- The client engages in discriminatory language or behavior based on race, ethnicity, religion, gender, sexual orientation, gender identity, disability, age, or similar protected characteristics
- Project requirements exceed the agreed scope, timeline, or boundaries and no revised agreement is reached
- The project does not align with my professional capacity, schedule, or creative values
If a project is discontinued after work has begun, the client will receive either:
- deliverables reflecting work completed up to that point, or
- a partial refund based on time already invested, at my discretion.
Any such decision will be made in good faith and communicated clearly.
12. Credit & Promotion
Credit as mix engineer should be listed as:
KingJae – Mixing Engineer
Tagging or crediting me on released material or social media is always appreciated, though not required.
Final Notes
These policies exist to protect both the client and the engineer while maintaining a relaxed, creative, and transparent workflow. These policies operate in conjunction with my Terms & Conditions and Privacy Policy.
